WELCOME LETTER FOR EXHIBITORS

Greetings:

The Annual Meeting of the Maryland State Bar Association will be held Wednesday, June 13, through Saturday, June 16, 2012. An anticipated attendance of 700 members (both Lawyers and Judges) and their families will provide an excellent marketing opportunity for you. The entire conference will be held at the Clarion Resort Fontainebleau Hotel, 10100 Coastal Highway, Ocean City, Maryland. The meeting space at the Clarion will enable us to present educational programs, committee meetings, registration desk and exhibit hall at one location.

As an Exhibitor, we will provide one 6’ clothed and draped table and name badges for each company representative. You will also be listed in the program distributed at the meeting and in the Daily Record. The deadline for inclusion in the on-site program booklet is Friday, May 4, 2012. Also included in the cost of exhibiting:

  • Free admittance to any MSBA sponsored educational program offered (space permitting)
  • Member discount at all overflow hotels
  • Two complimentary tickets to the President’s Reception

In addition, each exhibitor will be listed as a “Silver Sponsor” of the Welcoming Reception. The Welcoming Reception is held on the first night of the conference, Wednesday, June 13th. For added exposure, you may also become a “Gold or Platinum Sponsor” of this event. The cost of Gold sponsorship is $3,000 and the cost of platinum sponsorship is $5,000. Please feel free to contact me for more information on sponsorship opportunities.

Every member will be encouraged to walk through and visit with each exhibitor. A special drawing will be held for members who made an effort to visit at least 20 exhibitors. This drawing has proven to be a huge draw to the exhibit area.

On Friday, June 15th, there will be a special break between educational programs called the “Exhibitor Spotlight.” This will provide a great opportunity to have special events at your booth. We will have a designated area for you to post all of the winners of your give-a-ways!

The MSBA website includes the price list for the various spaces, as well as, the forms that you will need to send directly to the Clarion. The Clarion will provide phone lines without having to outsource. Please note the rates for this in-house service on the Clarion form.

We will do our best to accommodate your booth/space request on a first come first serve basis, however; we will not put large booths any place that limits or impedes the flow of traffic or blocks other exhibitors. I will forward a confirmation letter to you within a week of processing.

Please make sure that you make your hotel arrangements early! We invite you to make reservations at any of the overflow hotels. The headquarters hotel (Clarion) is reserved for MSBA Members. For security purposes, Clarion Security personnel will lock the doors at the completion of each day. Please see me if you have a need to get into the room before or after exhibit/registration hours. Note the following setup, breakdown and exhibit days and times. Times are subject to change (with notice).

WEDNESDAY, JUNE 13, 2012 8:30 a.m. – 12:30 p.m.
(The exhibit hall opens at 1:00 p.m. – you must be set-up by 12:30 p.m.)

THURSDAY, JUNE 14, 2012 7:30 a.m. – 2:00 p.m.

You may also let our members know that you will be an exhibitor at the Annual Meeting prior to the meeting.  Please click here for information on purchasing labels.

As an added attraction, we offer admittance to our Crab Feast held at Hooper’s Restaurant on Wednesday, June 13th.  This event is sure to be fun for all and cost only $48.00 per person.  The President’s Reception will be held on Thursday, June 14th.  Additional President’s Reception tickets are available at a cost of $85.00 per person (you will receive two complimentary tickets).  All tickets will be held in the name of your company at the MSBA registration desk at the Clarion.
